BAE Systems Streamlines IT Project Management with Exostar’s ForumPass
HERNDON, VA, May 24, 2011 ─ Exostar, whose cloud-based solutions enable secure, cost-effective business-to-business collaboration, today announced its ForumPass service offering has been deployed on behalf of BAE Systems. ForumPass, built on Microsoft SharePoint, is allowing BAE Systems business owners, IT team members, and its IT program management vendor’s personnel to effectively collaborate throughout the Project Partnership Approach (PPA) that governs IT project management and delivery between the two companies.
“We created the PPA process after a Lean/Six Sigma review of IT project management, with the goal of optimizing the timeliness and cost-effectiveness of project delivery,” said Allan Leggetter, Head of IT, Enterprise IT Services, Shared Services at BAE Systems. “To achieve that objective, we recognized we had to establish a shared working environment that captured, automated, and enforced the business process, and also promoted collaboration amongst all participants in the process across corporate boundaries.”
The PPA process consists of a series of five checkpoints that focus on and standardize the front-end of IT projects to improve end-to-end project management and performance. From reviewing the business need with the BAE Systems requesting party and defining requirements to designing, planning, and pricing the solution, the PPA process mandates specific tasks are completed and metrics collected along the way. Due to the sensitivity of the information being shared, BAE Systems wanted to limit access to authorized individuals and protect documents at rest and in transit with encryption.

The ForumPass deployment provides:
- A secure, collaborative, multi-party environment, allowing for document management and encryption, shared calendars, discussions, alerts, and announcements;
- Workflows tailored to the PPA process, including visibility into status, people involved, actions, and associated documentation;
- Content management/knowledge store, including maintaining all reference materials and information on all projects started, in progress, and completed; and
- Robust searching and reporting, including custom views of projects, activities, and exceptions.
